Privacy and data use
What this site collects, and what happens to it.
AMSARC is an informal working group, not a company. This page explains what the website collects, who sees it, how long it is kept, and how to have it removed.
Summary
- The site collects only what you type into a form, plus basic technical details that any web host records.
- The site uses Google Analytics to count page views and clicks. There is no advertising.
- Your information is not sold or shared for marketing.
- You can ask for a copy of your information, a correction, or deletion at any time.
What each form collects
- Join
- Name, email, role, how you want to take part, and optionally your organization and a research question.
- Submit a Question
- Your question, and optionally what prompted it, an area, and your vantage point. If you choose "Without my name," the page does not send a name, email, or organization. If you choose "With my details," it sends your name and email, and optionally your organization and your choices about follow-up and credit.
- Accident Database registration
- Name, email, role, how you will use the database, your agreement to its terms, and optionally your organization.
- Dataset request
- Name, email, how you will use the dataset, your agreement to its terms, the filtered view you were looking at, and optionally your organization and role.
- Participate in research
- Your program's name, type, approximate size, regions, services, the kinds of research it might take part in, whether it has its own IRB, and optionally topics of interest. Your name, title, work email, your role in the decision, your acknowledgment that the form is non-binding, and optionally a phone number.
- Air Medical Learning Network: share a lesson
- The kind of learning, area, phase, service, and optionally your role. Whether pressure to fly played a part, its sources, and how it showed up. Your description of what happened, what helped, what changed, and what other crews should know, and whether a de-identified version may be published. If you choose "Without my name," the page does not send a name or email. If you choose "With my details," it sends your name and email.
- Learning Bulletin
- Your email address.
- Research Agenda: vote
- Nothing you type. Your browser keeps a random code so it can hold one vote per topic. The site stores a one-way scrambled version of that code with your vote, and a one-way scrambled version of your network address for one hour to limit automated voting. Neither can be turned back into the original.
- Research Agenda: comment
- Your comment, a display name, optionally your role, and your email. The comment, display name, and role are published after review. Your email is never published.
- Research Agenda: sign up
- Your name, email, whether you are signing up yourself or your program, and optionally your organization, role, and a note. None of it is published. The page shows only how many people signed up.
- Record correction
- The event and field, your suggested value, your evidence, and optionally your name and email.
What the website host and spam protection record
The site is hosted by Netlify. Like any web host, Netlify records technical details such as IP address, browser type, and the time of each request, including with form submissions. AMSARC does not use these details to identify anyone.
The Join form, the Research Agenda comment and sign-up forms, the Accident Database registration form, the Submit a Question form, the Participate in Research form, and the Learning Network share form use Google reCAPTCHA to block automated spam. reCAPTCHA collects information about your device and browser and sends it to Google. Its use is governed by the Google Privacy Policy and Terms of Service.
Site analytics
The site uses Google Analytics, a service of Google LLC, to understand how the site is used. It records the pages viewed, links clicked, files downloaded, the site that referred you, your device and browser type, and your approximate location at the city level. Google Analytics sets its own cookies to do this.
Page addresses are sent to Google without anything after the question mark, so search terms and filters you use in the Accident Database are not sent. Nothing you type into a form is sent to Google Analytics, and no Accident Database records are sent. Advertising features and Google signals are turned off, and visitor-level data is kept for two months. AMSARC reviews the results only as totals.
To opt out, block cookies in your browser or install the Google Analytics opt-out browser add-on. The site works the same either way.
The Accident Database cookie
The site itself sets one cookie, af_access, and only for people approved to use the Accident Database. It holds a signed token tied to your email address and your access expiration date. It cannot be read by page scripts, is sent only over secure connections, and expires when your access does. Signing out removes it.
Who sees your information
Form submissions go to the site administrator by email and are stored in the website host's form records. Database registrations are reviewed by a person, and approved users are kept on an access list with their name, organization, email, approval date, expiration date, and status.
Program contact details from the Participate in Research form are shared with a specific researcher only after we ask you and you agree.
Learning Network submissions are read only by reviewers. Your name and email are never published and are used only to ask you a clarifying question.
A research question you submit may be shared with researchers in the working group who might study it. Your name and contact details are shared only if you submitted "With my details" and asked to be credited or contacted.
If a form includes your email address, the site sends you one confirmation email through Resend, an email delivery service. Anonymous submissions get no confirmation. Each address receives at most one confirmation per form per day, so the forms cannot be used to flood someone's inbox.
AMSARC also keeps its contact list in Resend. When a form includes your email address, Resend stores your name, email, organization, role, how you chose to take part, which forms you used, and when. It does not store your question, lesson, intended use, or correction. AMSARC emails you through this list only for the topics you chose: AMSARC updates if you checked the box on a form, the Learning Bulletin if you signed up for it, and Research Agenda topics you signed up for. Every such email has an unsubscribe link.
Information is not sold, rented, or shared for marketing. It may be disclosed if required by law, such as a subpoena or court order.
How long it is kept
- Research Agenda comments: published comments stay with the topic. Comments that are not published are deleted. Commenters' email addresses are deleted within 24 months.
- Research Agenda sign-ups: kept until the topic is closed or the study ends, then deleted. Ask to be removed at any time.
- Join, questions with details, dataset requests, and corrections: deleted from the website host within 24 months of submission.
- Learning Network submissions: deleted once the learning brief based on them is published. Submissions that are not published are deleted within 12 months. Published briefs contain no identifying details and are kept.
- Learning Bulletin addresses: kept until you unsubscribe. Use the unsubscribe link in any bulletin, or reply and say so.
- Contact list: kept while you are subscribed to any AMSARC email. If you are not subscribed, your contact record is deleted within 24 months of your last submission. Ask to be removed at any time and it is deleted.
- Participate in Research submissions: kept while your program wants to be considered. Ask to be removed at any time and the submission is deleted.
- Accident Database access records: kept while access is active and for 12 months after it ends, as a record of who had access to which version.
- Anonymous questions: the question text may be kept as part of the working group's research agenda. It contains no name or contact details unless you typed them into the question itself.
Not a protected reporting system
AMSARC is not a confidential or protected safety reporting system. It is not part of an ASAP, FOQA, or any federal reporting program, and submissions here do not carry the protections those programs provide. Report specific events through your own program's safety reporting process, and leave out patient information and any details that identify a person, aircraft, or program.
Links to other sites
The Research Library links to publishers, PubMed, ORCID, and federal repositories. Those sites have their own privacy practices.
Your choices
To ask for a copy of your information, a correction, or deletion, email admin@amsarc.com. Anonymous submissions cannot be found by name. If you want one removed, describe it and the date you sent it.
